Free Cover Letter Sample and Writing Guidelines

The main purpose of a Cover Letter is to introduce a potential employee to the company. It indicates the position that is being applied for is matched with his/her experiences and qualifications with the demands of the job requirements. Adding a cover letter with a resume increases the reader’s interest to go over the summary of qualifications at a glance and stimulates to read the detail resume.

Before the creation of a cover letter sample is commenced, here are a few notable tips and suggestions that are capable of guiding the potential employee in order to avoid pitfalls that could inhibit employment opportunities.

The basic guidelines include:

  • Use basic fonts such as Arial, Calibri or Times New Roman
  • Use reasonable font sizes such as 10 or 12
  • Use well-defined margins and properly-oriented paragraphs
  • Use professional-looking email addresses

Other significant guidelines/tips include the followings:

1. Brevity
This implies keeping the cover letter short and concise. Ambiguity and unnecessary details should be done away with. A good cover letter is more or less a synoptic outline of why the potential employee is suitable for the job as well as what benefits he/she can contribute to the company.

 2. Relevance
This entails that only skills, experiences and any other items of information that are in correlation with the available vacancy are supplied. Drifting off course and supplying irrelevant information should be avoided at all costs. It is important that the potential employee fashions his/her previous relevant background to match with the requirements of the job being applied for.

3. Professionalism
A professional cover letter is a formal document and thus, its language, structure and tone must connote this fact. The use of colloquialisms should be eschewed. On the flipside, it is pertinent to note that a balance must be maintained. The language must be professional without being too mechanical or robotic.

 4. Simplicity
This refers to ensuring as much as possible that the document is foolproof and devoid of grammatical and/or syntax errors. Inconsistencies must be avoided while basic details such as phone number, email address as well as other primary contact information must be incorporated within the cover letter.
